PDF to Word worked example

A two-page digital letter contains selectable sender details, body paragraphs and a reference number. The converter extracts page 1 text under a Page 1 heading, inserts a page break and then writes page 2 text under Page 2.

The result can be edited in a compatible word processor, but spacing, letterhead artwork and exact line positions may differ. The reference number and names should be compared with the original before the document is reused.

Scanned PDF to Word: use OCR first

If dragging across a sentence does not select text, the PDF may be a scan. Image-only pages need optical character recognition before their words can be extracted. Use PDF OCR, review uncertain characters and then continue with the recognised text.

OCR accuracy depends on scan quality, language, contrast and page layout. Important names, dates, account numbers and totals must be checked manually.
